Service Dispatcher

Basic Function:

Maintain the Service Technicians’ daily schedule and dispatch the technicians as service calls are completed. Schedule return trips with customers when parts are in. Maintain the on-call schedule for service technicians. Maintain customer database with current information. Clear and concise communication with department managers, employees, and customers, including keeping customers apprised as to company schedule and requested lead times.

Primary Duties:

  • Understand the skills, strengths, and weaknesses of the technicians
  • Answering phones/emails and creating service dispatches
  • Respond to customer inquiries and requests for status updates in a professional manner
  • Review after hour calls, create service dispatches and respond to all messages left overnight
  • Review all in progress dispatches and follow up with technicians
  • Schedule and dispatch technicians to service calls and received – one call at a time
  • Dispatch Service Technicians from home to the first call
  • Have Technicians call customers to let them know that they are in route
  • Debrief with Service Technicians after completion of each service call
  • Maintain the dispatch board, schedule and update all the dispatches
  • Act on items such as missed ETAs, no ETAs, Time in and Time out
  • Communicate with Service Manager, keep informed of issues and follow through to resolution
  • Forecast workload to 2-3 days out
  • Contact customers with a “parts pending” status as parts are received for scheduling
  • Order parts as needed for service dispatches and provide technicians purchase orders
  • Enter information on purchase orders
  • Forward list of parts used by technicians to the warehouse for truck restock

Commercial Service HVAC Technician

Basic Function

The basic function of the service technician is to troubleshoot, diagnose, maintain and repair commercial HVAC systems. The Service Technician is responsible for performing those operations as assigned to them by the Service Manager or Dispatcher. They are responsible for maintaining the quality of their work, maintaining acceptable company standards, and representing the company in a manner that promotes good relations.

Essential duties

  • Be neat and clean at all times and keep their truck and equipment the same.
  • Take direction regarding scheduling from the dispatcher.
  • Diagnose, maintain, and repair equipment properly the first time at the location.
  • Keep the Dispatcher informed at all times as to “where they are”, “where they have been”, and “where they are going”.
  • Complete service ticket/paperwork for maintenance and service work while on the job and turn it into the office at the earliest convenience.
  • Recommend/sell equipment, service agreements, and accessories when it is requested by the customer or is in the best interest of the customer to do so
  • Follow through on any issues/requests regarding each call you are on.
  • Collect payment for services rendered where required.
  • Adhering to proper procedures in the use of paperwork (work order, return material tags, etc.).
  • Responsible for having all minimum required stock on the truck at all times.
  • Attend all training classes and training seminars to keep education/knowledge/skills current with changing demands.
  • Other tasks as requested by the service manager, operations manager, or CEO.

Qualifications

  • EPA Certification.
  • NATE certified or be working towards HVAC certification.
  • Ability to represent TCMS in a professional manner with customers, vendors, staff, and the general public.
  • Works well under pressure.
  • Must have a valid drivers’ license and a good driving record.
  • Must have all required tools.
  • Ability to handle difficult customer/diagnostic issues.
  • Adaptability—the individual adapts to changes in the work environment, manages competing demands, and is able to deal with frequent change, delays, or unexpected events.

The Commercial Sales Representative will meet and exceed monthly and annual sales objectives assigned by the Company through aggressively developing new sales opportunities within the Company’s Virginia Market.

We are looking for quality applicants who want to be part of a team to provide outstanding service to our customers with expert knowledge of the commercial HVAC industry.

Success will be accomplished by exploring the needs of the Company’s current customers, heavy prospecting and networking in the local market to identify new customers, listening to the customer’s needs, using proven sales processes and tools, and closing deals in a timely and professional manner that are in line with the Company’s objectives.

The ideal candidate will be able to paint a picture of success and become a consultant to the needs of the customer. In this role, you will be able to sell Commercial and Industrial HVAC Products and Services, Plumbing Services, Electrical Services as well as Custom Fit, Retrofit, Add on and Replacement Systems.

Qualifications and Skills:

The ideal candidate will be skilled at identifying, developing, and maintaining relationships with clients to provide exceptional customer service and profitable income for the Company.

Outside sales experience in the HVAC/R or Mechanical Contracting trades, selling to commercial building owners or facility and property managers, or any previous experience in the sales, service, construction, electrical, plumbing, or HVAC industry is a plus.

Ability to occasionally work after hours, over weekends, and on public holidays with short or no notice. (Required).

Additional skills for this position include applied knowledge and understanding of the HVAC Industry including the operation and maintenance procedures of equipment and systems, experienced in sales along with the understanding of sales performance metrics, strong attention to detail with problem solving capabilities, estimating, skills working in a team/collaborative environment, great organizational skills and the ability to multitask in a fast-paced environment.

Knowledge, familiarity, and understanding of the Virginia Mechanical and Industrial Building Codes.
